Position: Executive Assistant (February 2025)

As the Executive Assistant at ORTEC, you will play a pivotal role in providing high-level administrative support to the CEO, COO, and other members of the executive team. You will be responsible for managing complex calendars, coordinating meetings and travel arrangements, and handling confidential information with discretion and professionalism. This position requires exceptional organizational skills, strong communication abilities, and the capacity to thrive in a fast-paced and dynamic environment.

You will be a team member of the CEO's office, a strategic team dedicated to organizing activities around the CEO and other executives, with a primary focus on driving change and facilitating effective communication across the organization.

Key responsibilities 

• Calendar and schedule management of three executives (including CEO and COO)
• Proactive agenda management
• Meeting coordination, including logistics, agenda preparation and taking minutes
• Organization and coordination of travels
• Administration of expenses

 Project support

• Provide project management support for various initiatives
• Prepare for communication and correspondence, ensuring adherence to company standards

 Event management

• Organization and coordination of events for the executive team
• Play an active role in the organization of companywide events 

Act as a mentor for other colleagues in a similar role. 

• Proven and relevant experience for the role of executive assistant
• Exceptional organizational and time management skills with the ability to prioritize tasks and manage multiple deadlines
• Strong written and verbal communication skills, with the ability to interact effectively with internal and external stakeholders in a dynamic environment
• Proficiency in office productivity tools such as Microsoft Office (Word, Excel, PowerPoint, Outlook) and experience with calendar management and virtual meeting platforms
• High level of professionalism, discretion, and integrity in handling confidential information and sensitive matters.
• Excellent command of the English language in both spoken and written form
• Bachelor’s educational and professional level (HBO) and/or a background in Business Administration, Business Management or other relevant studies
• You can work from the office in Zoetermeer 3 times a week
